Online Animal Acquisitions Program Help:

 

Animal Acquisitions Login:

  • Your UCSD ID is your user name and your password is assigned by the Animal Program and can be changed by you by calling the ACP office at 858-534-8860. If you currently manage your protocols online, the login is the same.




Printing Your Request:

  • At this time you cannot review or print your request once it has been saved. Use the Print option on your browser to print your request BEFORE you save. The ability to review your requests will be available soon.

 

Error Checking:

  • All fields with a red asterisk * next to them are required. You should have an 'other' option in most dropdowns, if you do not, you must pick what is the best choice and add any necessary comments in the comment section.


  • When you place an order for animals a few behind the scenes checks will happen. If any of these checks fail, you will not be able to submit your protocol at that time:
    • The “Protocol for” must be one that matches the “PI for
    • Dates of the protocol will be checked to make sure it is an active protocol.
    • Index numbers will be checked for validity. These are updated every 24 hours at the ACP office.
    • Number of animals left on a protocol will be checked against the total you are requesting.
    • If you have a breeding component to the protocol, the program will check to make sure you have filed a “Monthly Breeding Report” for that protocol within the last 30 days.
    • If one of these checks fails and it is not accurate, please call the Animal Coordinator at 858-822-0083.

 

General comments about filling out a request:

  • The fields are the same as those that were on the hard copy forms you have been using but they have been separated out into 5 different types of forms.



    • Request to purchase animals from an approved vendor: Use this form if you are going to purchase animals from a Animal Care Program Approved Vendor List.
    • Request for a Protocol Transfer: Use this form if you are going to transfer animals from one of YOUR protocols ONLY. This is not a room/location transfer but rather just a animals used on a protocol transfer. Please use (c) noted below to transfer animals from one location to another, or to another investigators protocol.
    • Request for animal transfer between UCSD locations: Use this form to request a transfer of animals from one UCSD room/bldg to another, or from one investigator to another. If the animals are going to a non-UCSD location, use (e) below.
    • Request to import animals from a non- approved source: If you need to request animals that are coming from a non-approved vendor source (i.e. import from another universities investigator) use this form.
    • Request to export animals from UCSD: If you need to send animals to a non-UCSD location, use this form.

     

  • Dates that are associated with a request:
    • Date requested: Date order is saved to the system
    • Date needed: Date you would like the animals to arrive at their final destination. This date may need to be changed if animals are to go through quarantine or other conditioning before arriving at their final destination.
    • Date ordered: For purchases, date animals are ordered from vendor.
    • Date expected: Date animals are expected to arrive at UCSD or expected to ship from UCSD.
    • Date logged in: Date animals arrive on a shipping dock at UCSD.
    • Date received: Date animals are received at the destination designated on the original request.

     

  • All fields that have a dotted grey line around them are for office use only.



  • The contact information you include for the PI will be printed on the animal cage cards and on the vivaria delivery schedule so please be accurate.
  • You have been given comments sections to use in the species section and the housing section. These comments print out on all ACP reports, including the delivery schedule so feel free to use for detailed instructions.

  • The ‘Deliver To’ field is used by the Animal Acquisitions Coordinators to designate what shipping dock at UCSD the animals are to be unloaded. This may or may not be the building that is the final destination for the animals.
